If so, maybe the organizor will let us know how much extra to bring so that we won't be bringing our bulky gear there and find out cannot participate in the contest.

What about having a film photo contest separately, after shooting, we just submit our film and developing cost to the counter.

Dont worry about the competition. You guys can just shoot and gain the experience, and dont need to join the competiton. My sifu taught me when I learnt photography:
"Shoot for your heart, dont shoot for the prizes."

I have seen many masters who never (or dont want to) win any competitions.
